Secretary I

Position Overview:

The Secretary I will provide administrative support to office personnel and will be responsible for incoming phone calls, inquiries and visitors. Will input data and provide reports daily to various parties in addition to daily database entry.

Duties and Responsibilities (Essential Functions):

  • Answer all incoming calls.
  • Greet vendors, visitors, employees and job inquiries.
  • Respond to inquiries in person, via email or telephone
  • Process badge and CAC requests.
  • Schedule meetings for Project Manager and Deputy Project Manager including preparing agendas and recording minutes.
  • Perform administrative tasks to include filing and photocopying
  • Maintain and enter data into laundry, pest control and fuel card receipt databases.
  • Input data and distribute daily reports for various annexes.
  • Assist with new hire paperwork and maintain personnel files
  • Open incoming mail and packages and distribute to appropriate locations.
  • Other duties as assigned.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
