Administrative Assistant - Wealth Management

Role:

  • To provide administrative support to staff, enabling them to focus on core responsibilities of their jobs.

Essential Functions & Responsibilites:

  • 40% Provides confidential administrative support to members of Wealth Management. Composes letters and memoranda. Edits written communications from word processing documents. Makes travel and lodging arrangements. Prepares and submits appropriate investment documentation for processing. Manages files.
  • 20% Screens incoming telephone calls, mail, publications, and other correspondence.
  • 15% Coordinates meetings and maintains representatives daily appointment calendars.
  • 10% Collects and prepares information for use in discussions and meetings.
  • 10% Prepares or assists in the preparation of assigned reports.
  • 5% Performs other job related duties as assigned.

Performance Measurements:

  • Provide timely, accurate, professional administrative support.
  • Maintain the confidentiality of all information as directed in credit union and investment regulatory procedures.
  • Meet required time deadlines for mail or correspondence distribution, calendar updates, and investment reports/file submissions.
  • Provide informed, professional and accurate service and support to all members and associates.
  • Maintain a professional work environment and businesslike appearance.
  • Maintains a high level of confidentiality with regard to member information and employee data.
  • Participates as a team member in the department and maintains an acceptable staff satisfaction rating of 90% or better based on the Internal Service Survey (ISS) by demonstrating AltaOne Federal Credit Union's established internal service standards.
  • Completes AltaOne Federal Credit Union's Product Knowledge Assessment annually with a score of 90% or better.
  • Experience:

    • Three years to five years of similar or related experience. Investment support experience preferred.

    Education:

    • A high school education or GED. College degree preferred. CA life insurance and/or series 7 and 66 or equivalent licenses beneficial.

    Interpersonal Skills:

    • Work normally involves contacts with persons beyond immediate associates generally regarding routine matters for purposes of giving or obtaining information which may require some discussion. Outside contacts take the form of service to the public (members or vendors) requiring ordinary courtesy in providing assistance and information. High level of confidentiality required.

    Other Skills:

    • Excellent organizational and editing skills; typing skills at or above the 75 percentile in speed and 90th percentile in accuracy; proficient with spreadsheets. Ability to understand and follow complex regulatory and reporting requirements.


    Don't Be Fooled

    The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
